Three templates that only claim what is true

A template that promises something your firm does not do is a risk in itself. A statement tied to a readiness question goes in only if you answered Yes to it. A few other statements about the firm are in to start with. Each is listed for you to read, and you untick any that is not true. You can also edit the wording.

The readiness check has not been added. Until it is, no statement tied to a readiness question is included. Tick the ones that are true for your firm.

Client privacy notice

A plain notice to give to clients. It says what you collect, why, and what they can ask for. Clients must be able to get it in English or in an Indian language listed in the Constitution, such as Marathi or Hindi. If the firm has a website, give the notice there too.

Statements tied to your readiness answers (0 of 15 included)
Statements to confirm. Read each one and untick any that is not true
17 statements left out, and what to do before adding them
  • We ask only for what the work needs. If we do not need a document, we will not ask for it.

The readiness check has no answer for it. First step: Make a short list of documents needed for each common service and share it with staff.

  • Please send documents only to [the firm's email address or other agreed channel]. Please do not send them to a staff member's personal WhatsApp or personal email.

The readiness check has no answer for it. First step: Pick one channel for client documents, such as a firm email address, and tell clients to use only that.

  • Each member of our staff has their own login. We do not share passwords.

The readiness check has no answer for it. First step: Find the three most shared passwords in the firm and replace them with separate logins.

  • Our email and cloud storage need a second step to sign in.

The readiness check has no answer for it. First step: Switch on two-step login for partner email accounts today, then for staff.

  • Laptops and phones that hold client files are locked with a password and encrypted.

The readiness check has no answer for it. First step: Check that screen lock and encryption are on for every work laptop and phone.

  • We take backups on a schedule, and we have tested restoring from one.

The readiness check has no answer for it. First step: Restore one folder from your latest backup to check that it opens.

  • Our staff are given basic training on handling client information.

The readiness check has no answer for it. First step: Hold a 30-minute session on the firm's three most important data rules.

  • When someone leaves the firm, their access is removed the same day.

The readiness check has no answer for it. First step: Make a leaving checklist: email, software, cloud drive, tax portals and office keys.

  • We sometimes use AI tools to help with drafting. Before we do, we remove your name and identity numbers from the text.

The readiness check has no answer for it. First step: Show staff the safe-AI masking tool in this demo and make masking the rule.

  • We share your information only where the work requires it, for example with tax and regulatory authorities when we file on your behalf.

The readiness check has not been added, so it starts unticked. Untick this if client information also goes anywhere else, for example into an AI tool with names left in, or to a helper with no agreement. Then write what is true.

  • Any outside helper who sees client information works under a written agreement with us about it.

The readiness check has no answer for it. First step: List the outside people who can see client data and add a data clause to each arrangement.

  • We have a written rule that says how long each type of record is kept.

The readiness check has no answer for it. First step: Use the retention calendar in this demo as a starting list, then confirm each period.

  • When that period ends, we erase or destroy the record.

The readiness check has no answer for it. First step: Pick one old financial year that is past its keeping period and erase it as a trial run.

  • If you ask what information we hold about you, we aim to answer within a few days.

The readiness check has no answer for it. First step: Try it for one client: list everything you hold on them, and who you shared it with, and time how long it takes.

  • When you ask us to correct or erase your information, we do so where the law allows.

The readiness check has no answer for it. First step: Write down who handles such a request and how you check what must be kept.

  • We have a written plan for what to do if information leaks.

The readiness check has no answer for it. First step: Start from the data breach checklist in the evidence pack and put names against each step.

  • If a leak affects your information, we will tell you without delay and explain what we are doing about it.

The readiness check has not been added, so it starts unticked. Leave this in only if the firm is ready to do it. It is a promise to the client.

Privacy clause for engagement letters

A clause to add to your engagement letter, so both sides know how personal information is handled.

Data breach checklist: the first 72 hours

What to do, in order, if client information leaks or a device is lost. The DPDP duty to report applies from 13 May 2027; following it earlier is good practice. The CERT-In 6-hour report applies now. Keep a printed copy where partners can find it.
